            At Studio 19 Hair & Nails Ltd we take privacy seriously and only use the information we collect to provide our services. We do not share or sell the information we collect for any other purposes than providing the services listed.

            At any time, you may request a copy of information we have recorded about you. This will normally be free, unless we consider the request to be unfounded or excessive, in which case we may charge a fee to cover our administration costs. You may also request we remove all identifiable information with respect to yourself. As a matter of course, we will delete your identifiable information, unless you request otherwise, if you have not undertaken services with us after 2 Years, except for your name, relevant client history (eg allergy test records which we keep for 4 years) and financial transactions (which we are obliged to keep for 6 years). We want to make sure that your personal information is accurate and up-to-date. You may ask us to correct or remove information that you think is inaccurate.

            For transparency, listed are the business services we provide and how each service uses the information we collect.

 

Hair & Beauty Related Services

            We request the minimum level of personally identifying information to run our business effectively. This data you provide us directly, for example, your name and contact details. We will never obtain information about you indirectly from sources outside our business. We store notes with respect to services we undertake to ensure we maintain and exceed our level of service. For example, your preferred hairstyle, colour formula codes, how you like your coffee and who your favourite stylists are.

            We consider you have provided consent for us to store personally identifying information and information about your services based on your receiving services from us.

            Depending on the particular service(s) we are providing we may be required to ask questions related to your medical history. We will obtain your consent to storing information related to your medical history. Examples of medical data may be allergies, pregnancy or an injury that may impact our service.

 

Appointment Confirmations & Reminders

            We will contact you via phone, email or SMS to confirm appointments booked and remind you of upcoming appointments. We consider your having made the appointment as consent to undertake this activity but, if you want you may opt-out at any time.

 

Appointment Ratings & Reviews

            After visiting us we may send you an email or SMS asking you to rate our services and provide feedback. We consider your agreement and participation in the service as consent but, if you want, you may opt-out at any time.

 

Loyalty

            We consider you a member of our loyalty program as consent to send you emails related to the loyalty program but, if you want, you may opt-out at any time.

 

Marketing

            We will not undertake phone, mail, email or SMS marketing without you first providing consent for us to do so. Our marketing campaigns are automated and use rules based on services and products purchased and information we collect from you. For example, we may send marketing campaigns related to your birthday, the fact we miss you (if you have not visited for 3months) and other special days such as Valentine’s Day and Christmas. Of course you may opt out of receiving marketing material at any time.

 

E-Newsletter

            We email e-newsletters to inform you about products, services and treatments provided by our salon. You have the opportunity to unsubscribe from e-newsletters at any time.

            E-newsletters may contain subscriber tracking facilities within the actual email, for example, whether emails were opened or forwarded, which links were clicked on within the email content, the times, dates, and frequency of the activity. We use this information to refine future email campaigns and provide you with more relevant content based around your activity.

 

Social Media & Online Engagement

            We occasionally use a variety of new technologies and social media options to communicate and interact with customers, potential customers, employees and potential employees. These sites and applications include popular social networking and media sites, open source software communities and more. To better engage the public in ongoing dialogue, certain of our businesses use certain third-party platforms including, but not limited to, facebook, twitter & Instagram. Third-Party Websites & Applications (TPWA) are Web-based technologies that are not exclusively operated or controlled by us. When interacting on those websites, you may reveal certain personal information to us or to third parties. Other than when used by our employees for the purpose of responding to a specific message or request, we will not use, share, or retain your personal information.

Employment

            The information we collect about employees, the purposes it is used for and who it will be shared with is set out in our employment contracts and employee handbooks.

            Information about unsuccessful job applicants will be deleted after 4 months.

            We use numerous leading software solutions within our business to provide the services listed above. These software store and process data in numerous locations outside our business premise. Any payment transactions are encrypted. Sending information via the internet is not completely secure, although we will do our best to protect your information and prevent unauthorised access.

Changes To Privacy Policy

            We may change this privacy policy from time to time. If this privacy policy changes, the revised privacy policy will be posted to the “Privacy Policy” link on the site’s home page.
